PAC Meeting – November 5, 2020

Board Members in attendance: Jen Crosby, Roxie Anderson, Justin Seamans, Korrin Fyall, Tamara Potruch, and Brandon Kelly (6)

Parents in attendance: Joe Whitehead, and Kathie Bowdain (2)

Staff in attendance: Nora Stuckey, Joy Raboli (2)



CALL TO ORDER- Meeting began at 6:33pm - Roxie Anderson opened the meeting with welcome and introductions. Roxie read the mission and H.E.A.R.T. skills.  Jen Crosby moved to approve the October 8, 2020 minutes and Justin Seamans seconded the minutes approved.


Joy Raboli (Principal Corner) - The floor was open for questions for Mrs. Raboli but none were asked.  Mrs. Raboli was having technical issues and her microphone was not working.  Her responses to any future items during the meeting were via chat or telephone.


Nora Stuckey (Teacher’s Liaison) - Mrs. Stuckey had no items to report.  Updated teacher wishlists for likes and wants were requested by Roxie as the holiday season is approaching.  Jen Crosby noted that Alison Cracker, the former coordinator for the teachers appreciation, has a list from the end of last year that she will forward to Roxie as well.


Justin Seamans (Treasurer Report) - The bank account is at $11,115.73, our PayPal account balance ready for transfer is $945.58 and our Bottle Drop account balance is $221.50.  Discussed some bills for the 2019-2020 school year came in late and have been paid, the Pizza Hut bill and the PledgeStar bill.  \


Fundraiser Updates

Bottle & Can Drive: $341.50 total with the account balance and a family’s contribution via cash after depositing cans personally for drive.  Discussed how this will be a continuing fundraising.  The next pick up will be scheduled for December 3rd.  Discussed how we want to give out bags for the event so that families can fill on their own and contribute.  Decided that the parents should request bags and we will make them available along with having some on hand at the school’s office.  Also will put them out for parents to grab on all school pick up supply days.  Will discuss with Angela in the school’s office about how to schedule monthly pickups and the getting bags to parents.  Also mentioned that parents can set their private BottleDrop account to donate to our charity.


Wreaths: Kathie and Tara are meeting November 6th to count and order the wreaths on Monday, November 10th.  The pick up will be 5pm-7pm on November 23rd at the school’s parking lot.  Will order in bundles so there will be a few extras of each type.  Will have those available for purchase and pickup on the 23rd.


8th Grade Sweatshirts - Krista to take care of ordering.  This is not a fundraiser.


Pumpkin Carving Contest - Carter Standke from First Grade won the contest.  There was an honorable mention to the pumpkin carved by Kimberly Sangplung, 4th grade for the amazing HEART.


Branded SCS Stuff - Roxie has reached out to Julie to coordinate.  Looking at doing face masks and tote bags.


Chipotle - This will be an online order and pick up for the fundraiser.  Code will be provided.  Tara is looking into more dine out fundraisers.  The fundraiser is November 23rd from 4pm-8pm with 30% for total sales of more than $150.


Boxtops - Roxie wants to put out information for parents about the App now that there is no more paper Boxtops.


Fred Meyer Rewards - We have a balance of $34.65 and they have our old address.  Justin is to contact and get our address updated and the name of the person on the account.  The current name is a former officer Brenda Carlson that Roxie can contact if needed.


Upcoming Events


Art Contest - The art contest was discussed and the details were determined.  Ms. Knee will be the judge and the winners get their art on a sticker (considering bumper sticker).  Will divide into three judging categories; Middle School, 3rd to 5th grade and Kinder through 2nd grade.  The theme will be SCS either via the art demonstrating the H.E.A.R.T. skills, the mascot (cougar), the name of the school or the school symbol of a tree.  Looking at having a digital art show of all the contestants and a few honorable mentions.  The cost will range from $115 to $200 depending on how we do the stickers either all in one or multiple smaller stickers.  We discussed that a new budget item needs to be approved for the Art Contest.  Since we did not hold our annual picnic this year those funds allocated would cover the cost of the Art Contest.  Jen Crosby motioned to move $200 from the picnic funds for the Art Contest.  Justin Seamans seconded the motion.  The motion was approved.


Parent/Teacher Conferences - It has been discussed since we cannot do monthly lunches for staff due to the Pandemic we will do trimester gift cards of $25 to teachers and staff for meals.  Will select gift cards based on teachers listed likes.  The first trimester we will be asking ro middle school parents to contribute.  The total cost to do this is $475.  The PAC will pick up the difference from what cannot be donated from parents.  This will come out of the teacher’s appreciation fund.  It was noted that we have to be careful as the teacher’s appreciation fund is small and we will need to ask families to help contribute to make these appreciation events great.


Other Matters


Library Hosting Service - The PAC supports the library through parent volunteers and funds, but the school historically has paid for the software Destiny that is used to process books.  This software costs roughly $750 a year.  We will use the pledge funds to cover this cost.  Mrs. Raboli noted that we do not need to worry about covering for this school year but will need to for next year.  This item has been noted and will be included in our budget for next year.


Gifts for Expecting Staff Members - Four pregnant staff members are expecting and the deadline to drop off gifts are Monday, November 9th.  Discussed if PAC should make a gift but it was determined that this would not be appropriate.  We determined that the event should be school related like a teacher retiring.
