PAC Board Meeting Minutes - 06.01.23

 

Board members in attendance: Tamara Protruch (chair), Korrin Fyall (co-chair), Kimberly Felton (secretary), Ashley Weston (co-secretary), Roxie Anderson (treasurer)


Tamara called meeting to order at 8:04pm. 


Approval of minutes from 4/6/23: Korrin motioned to approve minutes; Kimberly seconded. Motion passed.


END OF YEAR GIFT TO Sherwood Charter School – 

Roughly $1,480 left in PAC budget. PAC will offer $1,200 to school; Tamara will see if saving this amount for playground equipment is still their wish, rather than purchasing a gift this year.


END OF SCHOOL PICNIC – 

Costco run needed on 5/14/23. Roxie & Kimberly volunteered; Tamara will let them know what is needed.


8th GRADE PROMOTION – 

  * Roxie taking the lead.
  * Tamara will create centerpieces.
  * Last year’s backdrop gifted to PAC. Curtain needed to hang from PVC pipe. Roxie will make a curtain; needs dimensions.

PAC General Meeting Minutes - 06.01.23

Parents in attendance:  Hadar Ferris, Jen Kellam

Staff in attendance: Nora Stuckey


Tamara called meeting to order at 6:38pm. 


Approval of minutes from 4/6/23 & 5/4/23: Kimberly motioned to approve May minutes; Ashley seconded. Motion passed. Roxie motioned to approve April minutes; Korrin seconded. Motion passed.


STAFF UPDATES – The teachers really appreciated the teacher appreciation week.


TREASURER REPORT – 

  Chase: $15,137.82

  Paypal: $2,260.09

  Bottle Drop: $1,034.60 [includes $58.48 Earth Day bonus]
  total: $17,190.02  [$10,000 is reserve; $3,615.56 in library reserve fund; $3,574.46 left – but a $1000 outstanding check needs to be cashed, lowering this total]  After expected expenses for rest of year, total left should be about $1,480.


Planning on a bulk pop can dropoff on last day of school; parking van at school for parents to bring bottles.


2023-2024 budget:
    * removed Amazon Smile because Amazon discontinued this program.
    * added income line for teacher appreciation lunches.
    * modified Read-a-thon to $150, to accurately reflect what we spend.
    * modified See’s Candy line item to reflect recent income.
    * suggestion to add more detail for library line item, showing more detail of how money is spent.
    * DNO income has been lowered from $90 to $65, as a more accurate reflection/expectation.
    * Removing April Spiritwear line item.

Motion to approve budget 2023-2024 by Roxie; seconded by Korrin. Motion passed.
   

Suggestion from Korrin: Create a sign to put out by car line for DNO evenings.


Sticker Purchase: $122.47 -- Office purchased the stickers, has submitted invoice to PAC. 5”x2” stickers; will not fit on water bottles. Vinyl, so are waterproof. Korrin motioned to approve payment of stickers. Roxie seconded motion. Motion passed with two abstentions.



OLD BUSINESS/UPDATES

Panera Bread total:  $27.17


NEW BUSINESS/ANNOUNCEMENTS

Book fair BOGO May 15-18: No cash dollars received; gift to the school is the BOGO book for kids. All teacher wish lists were purchased with previously earned Scholastic dollars. The library has added 1,000+ new titles.

PAC storage area / file cabinet / key: Got rid of small items that no longer serve a PAC purpose. Opened file cabinet; threw out 2013 budgets, a license to have a bingo night, etc. Spirit Wear is now in this storage area; budgets will be stored in file cabinet.

Last day of school picnic: Following what we did last year: book exchange, uniform drop-off, snacks.

8th grade promotion – volunteer needs: Tradition that 7th grade families help with decorating, photo backdrop, etc.

Uniform drop off / pick up: June 5-7; drop-off at office, pick up in library. Question: Can parents drop off clothing when dropping off students? (Have a box at school drop-off to put uniforms into.) Kimberly will follow up with Angela; let Tamara know for social media.


Voting on 2023-2024 PAC Board officers:

Chair/President - Tamara Protruch’s term as chair/president ends June 30, 2023. Korrin Fyall motioned to nominate Hadar Ferris for chair/president. Roxie Anderson seconded the motion. The motion passed and Hadar Ferris was elected as chair/president for the 2023-2024 PAC year effective July 1, 2023.

Co-Chair - Korrin Fyall’s term as co-chair ends June 30, 2023. Roxie Anderson motioned to nominate Jen Kellam for co-chair. Korrin Fyall seconded the motion. The motion passed and Jen Kellam was elected as co-chair for the 2023-2024 PAC year effective July 1, 2023.

Secretary: Kimberly Felton volunteered to complete another term as secretary. Roxie Anderson motioned to nominate Kimberly Felton as secretary. Ashley Weston seconded the motion. The motion passed and Kimberly Felton was elected as secretary for the 2023-2024 PAC year effective July 1, 2023.

Co-secretary: Ashley Weston’s term as co-secretary ends June 30, 2023. Roxie Anderson motioned to nominate Korrin Fyall for co-secretary. Ashley Weston seconded the motion. The motion passed and Korrin Fyall was elected as co-secretary for the 2023-2024 PAC year effective July 1, 2023.

Treasurer: Nomination and election of treasurer was tabled until the next meeting.

Co-treasurer: Dan Standke’s term as co-treasurer ends June 30, 2023. Korrin Fyall motioned to nominate Roxie Anderson for co-treasurer. Ashley Weston seconded the motion. The motion passed and Roxie Anderson was elected as co-treasurer for the 2023-2024 PAC year effective July 1, 2023.
