PAC Meeting – January 6, 2022

CALL TO ORDER- 6:30pm by Tamara Potruch


Welcome and Introductions of the board members and coordinators in attendance.


Tamara read PAC mission and HEART.


Korrin Fyall motions to approve November 4, 2021 minutes and Dan Standke seconds. Motion passes approving the minutes.


Principal’s Corner

Mrs. Raboli was unable to attend.



Teacher Liaison Report

Nora Stuckey was glad to be back with the kids and thanked the PAC for the appreciation basket.  Tamara notes that the PAC is providing a monthly appreciation basket.


Treasurer Report


Roxie presented the treasurer report.

$15,930 Checking account

$0 PayPal all has been deposited into main checking

Bottle drop has a check in transit to our checking account


Roxie shared her screen and showed the Actual to Budget and there is nothing of concern or items to note.  Still a lot that we have not had occurred this year.  A copy is available upon request.


Roxie is working out how to get an easy way to have families link to PayPal for our payments on fundraisers and for donations.


Roxie discussed that her and Dan need to have some meetings so he can start reviewing some accounts.


NEW BUSINESS & ANNOUNCEMENTS


Updates


OBOB Update/Library Update


Jen notes that the books are available to check out the OBOB books in the office for those kids who are on the teams.  Nora notes that some kids have been asking but the teachers do not know how to get the kids the books.  Jen is going to email the teacher about the process.


The books are in the office and the kids write their names next to the title of the book and take the book.  Jen was wondering if there is time for the kids to do this during the day.  Nora says that the teachers will help with the kids getting the time to go to the office to get the books.  It should be able to be done through the office window.


Read-a-Thon is coming up in February, the last week around the 27th and ends on Dr. Seuss birthday, March 2nd.


Spirit Wear Order Forms


The spirit wear order forms went home today.  Sadly pink is still not available.  We do have some back stock of pink sweatshirts.  All spirit wear can be worn like a uniform.  The eight grade sweatshirts are also up and going.


A parent asked about payments and Tamara says it can be dropped off in the office cash/check.


Teacher Luncheon


Teacher luncheon will now be collected through cash/check/paypal by the PAC and not the parent coordinator to provide better tracking.  Roxie suggested adding a page on our website to allow for parents to donate for the future luncheons.


MudPuddles


We earned $250 from MudPuddlesShop for your School”.


Dining Night Out


Chipotle was only $90 which is most likely due to the holiday break, therefore, we have decided to take the DNO off for March.  There is one this month, Red Robin, which is Thursday, January 13th and is 4-8pm.  A parent inquired if we will have one in June.  Per Tamara we will not.


Bottle Drive


We earned $500 and donated an extra $100 for the fundraising drive BottleDrop was running.  This fundraiser is doing really well.  $1,174.70 so far this year and our budget was $600 for the year.  Tamara noted that this has been an easy fundraiser.


School Board Appreciation 


This month is the school board appreciation.  Tamara is asking each PAC board member to write a quick little thank you.


Campus Clean up


Tamara has talked to the school and the campus clean up is still needed.  Tamara asked Jen to update the Sign-up genius for the rest of the school year. 






New Business


Puzzle Winter Event


The PAC event this winter is a puzzle event in January.  The coupons went home for the participants.  The coupon has multiple lines for the students name and grade level.  The multiple lines are to make sure that age appropriate puzzles come home.  The coupons need to be turned in by January 13th and the puzzles should go home by January 27th.


This event is for families and to practice HEART skills with that and then posting on PAC Facebook and/or PAC email.  All participating families will be entered into a drawing for a $25 Handels gift certificate.   


Auction - Sherwood Charter School


The PAC is assisting the running of the Auction, but all funds are going directly to the One Fund with Sherwood Charter School.  More information will be coming soon.


Korrin asked what items would be best for the auction so that parents can see if they might be able to contribute.


Per Tamara one favorite is Class Baskets with themes like Game Night, Barbeque Night.  Then businesses tend to donate Wine Baskets and other goods of their business.  Other items that she has seen is overnights stays (ie. families own a beach house or cabin in the woods), paintings or side businesses.


Tamara says that they are meeting next week and will have more details and information coming soon.  The auction will be run online using a software platform.  


Jen asked if there will be an easy way to pay like we do for the Read-a-Thone.  Tamara believes this will be the case.


Library Cart


Jen asked the school whether the Library Cart rotating from class rooms with an easy sign-out/in feature could be done and was given a hard No.  The school cannot have any volunteers and they are stretched too thin to accommodate.  

Jen noted that then the question does come up, Why are we still doing a Read-a-Thon?  We are fundraising for OBOB this year and next year and those fees.  The PAC also has taken on the software fee which is the use of the district software and all the barcodes and labeling for the books.  Also working on revamping the Non-Fiction book section.  We want to grab any of the new books and keep the series up to date for when we can reopen the library..


Korrin inquired about book donations and how to best do this as she has a large number of basically new books to donate to either the school library or teachers' classrooms.  Jen noted that they do not have access to the full inventory the library currently has from home but if I or anyone who has books to donate could provide Jen and Shannon a list (book title and author and condition) then they can review and get back to us.  This will also work well for the teachers as well.


Korrin made an additional statement that she clarified was as a parent not a board member of the PAC that she feels the school has not been very accommodating to the Library and that this is a crucial need for the school and would like to see them provide more support in helping the kids have access to these books.  She notes that she sees all the hard work Jen and Shannon does and it saddens her that we have lost space for the Library and that the Librarians cannot set up the Library Carts on Friday when kids are not at school and move them the following Friday. 


Jen disagrees and feels that the school has been very supportive of the Library and these are extreme circumstances.  She notes that since the library is run by volunteers and the state rule for schools is no volunteers when children are present makes it even harder.


A parent asked whether we had an app and or list of books we have.  She knows that Ms. Murray had a check-in/check-out app to sign in and sign out the books.


Jen answered that we do not have an app and only accessible via the school .  The other librarian has a personal list.  Jen likes the idea but we would like to find a way to convert the district software.


One app is called the Library Thing per the parent.  Jen will talk with Ms. Murray about how she did it.  Maybe we could do something like this for our Library.


Jen also noted that the Library has/had a wishlist on Amazon and in years past we did update regularly and that is something we could go back to doing.
