PAC Board Meeting 8.22.2022


 


Board members in attendance: Tamara Potruch (chair), Roxie Anderson (treasurer), Dan Standke (co-treasurer), Kimberly Felton (secretary), Ashley Weston (co-secretary)


Tamara called meeting to order at 6:48pm, and read the PAC mission and SCS HEART skills.

Tamara motioned for PAC meetings to move back to in-person, on the school campus; with meetings to be held in the Sherwood Friends Church gym. This eliminates the cost of Zoom. All present were in favor. The cost of Zoom will be eliminated from the budget at the first meeting of the school year.


Calendar of Events – Question raised of how to communicate which groups are responsible for which events.

  • Winter Festival: December 8

  • Family Dance: during Heart Week – February 16

  • End of School Picnic: June 15. Tamara let office know we will keep this on the calendar for future years.

  • Back to School Meet & Greet for parents: Sept. 15 – Tamara at PAC table

  • Student supply drop-off: uniform closet, Spirit Wear available.

  • Dining Nights Out: Joe’s Burgers in September. Will not plan for November, December, or March; these months have very low participation.

  • Pumpkin Carving Contest: Will do this year. Budget: 3 gift cards for $20/ea. Will vote on amount at next meeting.


Spirit Wear – 

  • For sale at Supply Drop-off day.

  • Roxie suggested waiting a couple months for the 8th grade sweatshirt order. Tamara said it is OK to have two Spirit Wear orders: one for the sweatshirts; another for everything else.

  • Lambi confirming prices for Spirit Wear. Will take check or Paypal. Still no pink available.


Budget – Will amend budget at next meeting to reflect how we will use community events money.


Wreath sales – Tamara will establish contact with Farmington Gardens.


Teacher lunches – Ms. Raboli and Angela want to continue the lunches. Tamara will confirm that potlucks are OK. Lunches will be officially sponsored by PAC but organized by parents (not by PAC). Grade levels will operate separately for organizing lunches. Need to know teacher food allergies.


PAC lunch program – Needs a coordinator. Suggest starting small, with lunches purchased 1 day/week.


Zelle – Online tool for payments. Roxie will look into setting up Zell to deposit directly in the PAC account. No cost for nonprofits.


8th grade sweatshirts – Scholarships sometimes are necessary for students who cannot afford to purchase an 8th grade sweatshirt. PAC’s goal is that each 8th grader has a sweatshirt, which has the signatures/artwork of the 8th grade class printed on it. We’ll add a blurb to the order form for others to contribute to the scholarship. When Lambi receives orders, she should tell the teacher of any student who has not ordered one; teacher can talk with parents to offer the scholarship.


End of Year gift – 

  • $200 left from 2021-2022 gift budget; rolling that amount into current year EOY gift budget.

  • Ms. Raboli & Angela want purpose of this year’s gift fundraisers to be clear: Playground equipment. This will be the gift, even if not enough is raised this year.

  • We will create a new account for this.


PAC website – Not easily changed. Tamara will update with new template.


PAC intro flier – To explain to parents what PAC is, and how they can be involved. Tamara will print in color, to hand out at supply drop-off. 


Future PAC printed materials: SCS office has said they will print B/W copies of our materials.


RaiseRight – Organization where anyone can buy gift cards; a percentage of the sale goes to PAC, at no cost to PAC. This will be promoted on the intro flier.
